Switch moderation on

Moderation is set for each order type: you can review the listings of one type and let those of another go online directly.

  1. In the menu, under Configuration, click Settings, then Order types, in the Sales & catalog group.
  2. Click the name of the order type, then the Listings tab.
  3. Set Listings need approval before publishing? to Yes.
  4. Click Save, in the bar that appears as soon as you change something.

Repeat for each order type whose listings you want to review.

Choose who gets the alert

Each new listing waiting for review sends an e-mail to the address in the E-mail address to receive new listing alert field, on the same Listings tab of the order type. The e-mail gives the listing’s title, its seller, its description and the link to its page in the admin panel.

If you need to send the email to several recipients, separate the email addresses with a comma. Maximum 250 characters.

Save
  • Several recipients: separate the addresses with a comma. A mistyped address is skipped; the others get the alert.
  • Empty field: the alert goes to the E-mail address in Settings › General.
  • One field per order type: if your listings are spread over several types, set the address on each of them.

Approve or reject a listing

  1. In the menu, under Catalog & customers, click Catalog.
  2. Click Review pending listings, at the top of the screen. The button only appears when at least one listing is waiting.
  3. The Moderation screen shows the oldest listing waiting for review: photos, description, characteristics, seller and details. Open the full listing shows the whole listing.
  4. In the Decision card, click Approve listing or Reject listing.

Decision

Approve listing Reject listing

To reject, choose a Reason, add a Message to the seller (optional) if needed, then click Confirm the refusal. The reasons offered: Missing image, Low quality image, Low quality description, Misleading content, Wrong category, Invalid price, Duplicate listing, Policy violation, Other.

After each decision, the screen moves on to the next listing. When none is left, the message “No listings pending review” is shown.

You can also change a listing’s status from its page, in Catalog, with the Admin status field: Pending, Approved, Rejected or Blocked.

What your users see

  • On creation: the listing does not appear on the storefront. The seller sees the message “It will be visible as soon as our team has approved it.”
  • On approval: the listing goes online and the seller gets the Listing accepted e-mail.
  • On rejection: the listing stays offline and the seller gets the Listing rejected e-mail, with the reason and your message.

Both e-mails can be customised in Settings › Notifications.

Edge cases and limits

  • Listing edited after approval: the change goes online at once, with no new review and no alert. Only creation goes through moderation.
  • Listings created in bulk through the API (POST /listings/bulk): one summary e-mail per recipient list, with the link to each listing, instead of one e-mail per listing.
  • Moderation switched off: listings already waiting stay waiting; approve or reject them from the Moderation screen.
  • Paid publication: an approved listing whose publication is not paid yet stays a draft. The seller gets the payment link instead of the Listing accepted e-mail.
